Tags and folders

A reminder can carry several tags and sit in exactly one folder. That is the whole difference, and it is why most people end up using tags for everything and folders only when a project needs a shelf.

Tags

A tag is a name and a colour from an eight-colour palette. Make them in Settings → Organising, or from the composer while saving. A reminder can carry more than one.

In the queue a tag shows as a coloured dot with its name available to screen readers and on hover, so a row stays readable at 384px wide without giving up what the colour means. That accessible name is not decoration — it is the reason the colour is usable at all by anyone who cannot separate the red one from the green one.

Folders

A folder is one place a reminder lives, and folders nest. Work → Client A → Invoices is a normal shape and the breadcrumb is shown wherever the folder is.

A reminder is in one folder or none. That is a deliberate restriction rather than a missing feature: a thing that can be in several places at once is a tag, and having two mechanisms that both do that would make neither of them mean anything.

Which to use

Tags are for a quality the reminder has — urgent, reading, tickets, waiting on someone. Folders are for where it belongs — a project, a client, a course.

In practice most people need far fewer folders than they first make. A reasonable start is no folders at all and three or four tags; add a folder the first time a real project accumulates enough reminders that you want to look at them together and nothing else.

Limits

Tags are never limited, on any plan. Make as many as you like. That is a rule rather than a generosity: the tag's name is the accessible label behind its colour, so capping tags would put an accessibility affordance behind a paywall.

If a licence lapses, nothing you made is removed. Six folders stay six folders and all of them keep working; Latr simply declines to create a seventh until the licence is active again.

Finding things again

The queue's search covers titles, sites and your own notes, and it can be filtered by tag, folder or site. A filter you use repeatedly can be kept as a saved view.

Ctrl+K (Cmd+K on a Mac) opens a command palette over every action and every pending reminder, which is usually faster than filtering when you know roughly what you are looking for.
